Overview

Position Overview
The Digital Impact Alliance (DIAL) is a new global alliance to enable the digital ecosystem to deliver greater scale, efficiency, and social impact as it creates more inclusive digital economies in emerging markets. Working with partners, DIAL generates evidence of what works through a series of demonstration projects, distils insights and tools to promote scale-up and replication, and provides mechanisms to encourage knowledge sharing, collaboration, and co-investment throughout the ecosystem.

 

DIAL is funded through a collaboration among the Bill & Melinda Gates Foundation, USAID and the Swedish International Development Cooperation Agency (Sida), and hosted within the UN Foundation in Washington, D.C.

 

Business Operations

The Business Operations team is the administrative hub for DIAL’s fast moving, global, tech oriented team and ensures a clear alignment among strategy, program operations, financial management, talent management and impact. The Administrative Coordinator will play an important role in fostering sound team management and as assistant to the CEO. Working Relationships

Responsibilities

Assistance to the CEO (75%)

  • Facilitate all administrative tasks for DIAL’s CEO including calendar management, domestic/international travel planning, and expense tracking.
  • Serve as main point of contact between the CEO, colleagues, and external stakeholders.
  • Monitor, prioritize, and follow-up on CEO’s incoming and outgoing emails, letters, and phone calls.
  • Prepare and send documents and other correspondences to staff and external partners on CEO’s behalf.
  • Ensure all DIAL milestones are planned for appropriately, and each team member is aware of their roles, deadlines and deliverables.
  • Communicate with board members, schedule board calls and meetings, and manage logistics and material distribution for board meetings.
  • Transcribe and communicate minutes for staff meetings, board meetings and other assemblies.
    Implement processes and procedures that increase operational efficiency for the Executive Office.
  • Facilitate projects and special assignments by establishing objectives, managing timelines, and monitoring progress
  • Maintain strict confidentiality with sensitive information, financial records and personnel matters.


Team Operations (20%)

  • Schedule and organize team meetings ensuring participants are prepared by setting appropriate agendas, distributing required materials prior to meeting, and communicating post-meeting follow-ups.
  • Maintain awareness of team activities to expedite requests for information, appointments, and coordination.
  • Facilitate projects and special assignments by establishing objectives, managing timelines, monitoring progress, and orchestrating the flow of team communication.
  • Support teamwide activities including ordering meals, arranging rooms and greeting guests.
  • Administer teamwide tools such as team-wide Outlook Calendar, Slack, Dropbox and Salesforce

Selection Criteria

  • At least 3 years' administrative experience, preferably in an executive office.
    Independent judgment, and execution of operational functions.
  • Experience booking travel, organizing group meetings, following expense guidelines and tracking expenses
    Knowledge of the international nonprofit sector is desirable.
  • Excellent verbal and written communication skills, including strong drafting ability and attention to detail, required.
  • Knowledge of and experience with MS Office Suite (Word, Excel, Outlook, PowerPoint). Willingness to learn new software tools as needed.
  • Ability to communicate professionally with internal and external parties.
  • Ability to maintain confidentiality when needed.
  • Demonstrated ability to prioritize multiple, competing priorities in a fast-paced environment within limited timeframes.
  • Ability to work independently as well as a member of a team, and the ability to take initiative;
    Bachelor's degree in related field.
  • Ability to meet regular attendance/tardiness policy.
  • Ability to work under pressure and handle stress.
